JOB TITLE: Solo Administrative Manager


REPORTS TO: Director of Solo

Job SummaryResponsible for managing the event related activities of the Solo Department including budget tracking, operational support of the National Solo program, and general inquiries from members and officials regarding administrative procedures and processes, as well as the development of concepts, programs, procedures, and policies that support the department’s strategic objectives.

Essential Duties and ResponsibilitiesThe following statements are illustrative of the essential functions of the job and do not include other nonessential or peripheral duties that may be required.  SCCA retains the right to modify or change the duties or essential functions of the job at any time.

  • Serves on the Solo Management Team that reports to the Director of Solo. This Team, that includes the Solo Events Manager, the Solo Competition Manager, and the National Solo Senior Manager, assists the Director of Solo in developing the strategic program/department goals and the supporting tactical plan for implementation, as well as managing their part of the action plan.
  • Manage the monthly tracking of the Solo Department budget and assist the Director of Solo in the development of the annual department budget.
  • Manage responses to inquiries from members and officials regarding event processes/procedures and general operational questions/concerns.
  • Works in conjunction with the Director of Solo, the National Solo Senior Manager, the Solo Events Board (SEB), and the appropriate field staff and/or committees to implement effective event and administrative rules and procedures. Manages the communication of these rules and procedures to the members and Club officials through official SCCA channels ( Fastrack, SportsCar, web site, memos, etc.).
  • Serves as Project Manager of the annual National Solo Championship Events, working in partnership, as appropriate, with the Solo Management Team, the event chairman, and the SEB. Tasks include, but are not limited to the following:
    • Publication in SportsCar magazine and on of forms, chiefs lists, schedules, event information, entry list, supplementary regulations, and results
    • Event entry processing
    • Securing event materials, such as trophies, jackets, forms, decals, office supplies, etc.
    • Development of Driver Information Manual, Results Booklet, entry form, award certificates, dinner tickets, etc.
    • Review/update supplementary regulations, chief descriptions, etc.
    • Non-racing aspects of event, including social event enhancements
  • Coordinate with the Marketing and Communications Department on developing and implementing an effective and efficient administrative program to support contingency sponsors and members.
  • Manage the general event operational functions for National Solo events (ProSolo and Tour), working in partnership, as appropriate, with the Solo Management Team, individual event chairman, and the Director of Solo. Tasks include, but are not limited to the following:
    • Secure program/event materials and distribute as appropriate, including trophies, trinkets, waivers, wrist bands, office supplies, event forms, etc.
    • Produce and distribute event and program supplementary regulations.
    • Maintain the annual calendar of events.
    • Keep web site updated: schedule, event information, etc.
    • Event entry processing
    • Process ProSolo prize money and post event awards
    • Calculate and record points earned by ProSolo competitors throughout the season
  • Performs other related duties as required, including but not limited to, assisting the Director of Solo and the Senior Manager of National Solo in daily operations of the Solo Department and serving as a backup as needed.

Experience and Training:

  • Minimum Education: Bachelor’s degree in business administration or equivalent experience.
  • Minimum of 3 to 5 years of progressively responsible management experience.

Competencies Required:

  • Extensive knowledge of Word, Excel, PowerPoint, and Access Microsoft products.
  • Familiarity with the SCCA, the SCCA Solo program, or similar motorsports experience is highly desirable.
  • Customer service orientation and ability to respond effectively to inquiries and/or complaints.

      Travel Requirements:

      Travel as required to fulfil essential duties and responsibilities including Tire Rack SCCA Solo Nationals

      Environmental Requirements:

      Work is conducted in outdoor motorsports and in indoor business environments. Some exposure to unfavorable conditions may be encountered during travel for business requirements located within the areas as well as to member locations.

      Physical Requirements

      • Requires walking 10% of the time, standing 20% and sitting 70% of the time.
      • Ability to lift, carry, push, or pull 10 pounds on a daily basis.
      • Conditions may require work in low and bright light; use of near and far vision acuity; use of depth perception, color sensitivity, and a field of vision (peripheral vision).

      Other Requirements:

      • Ability to understand verbal information and instruction. Ability to exchange information with others and to develop and present recommendations.
      • Ability to participate in routine, as well as high level conversations.
      • Ability to read and understand complex written information. Ability to compose information and instruction in written form.
      • Ability to translate verbal communication into effective written material; e.g., reports and other documents.

      Reporting Relationships:

      • Reports to Director of Solo
      • Coordinates with Senior Manager of National Solo Events and other staff as needed
